Guardians
Ilmiya’s Guardian section streamlines adding, managing, and verifying guardians — ensuring secure access, clear communication, and strong engagement between students, families, and the institution.
Add Guardian
Section titled “Add Guardian”Guardians can monitor academic progress, assignments, grades, class participation, and engagement through Ilmiya.
How to Add a Guardian
Section titled “How to Add a Guardian”- Click the ”+” icon on the right side of the screen.
- Enter the guardian’s details in the pop-up window.
- Click Create to add the guardian.
Key Benefits
Section titled “Key Benefits”- Real-Time Academic Insights — Track grades, assignments, and progress instantly
- Smart Attendance Tracking — Monitor class participation and engagement

Manage Guardians
Section titled “Manage Guardians”The Guardian tab allows easy creation and management of guardian profiles. Clicking a guardian card opens a detailed page with organized tabs.
Overview Tab
Section titled “Overview Tab”Includes comprehensive guardian information:
- Personal Info — Name, email, nationality, preferred language
- Contact Details — Phone numbers, communication preferences
- Address — Full address including city, state, and zip
- Responsibilities — Custody, emergency contact, financial duties
- Income & Employment — Employment status, housing, income, occupation
Students Tab
Section titled “Students Tab”Lists all students linked to the guardian:
- Student name, username, ID, and class
- Allows adding or removing student associations
Profile Picture
Section titled “Profile Picture”A profile picture helps staff, students, and other guardians quickly recognize a guardian in the portal.
How to Update a Guardian Profile Picture
Section titled “How to Update a Guardian Profile Picture”- Go to Guardians from the left sidebar, then select Overview.
- Hover over the profile photo and click the pencil/edit icon.
- A pop-up will appear — click Add Image to upload.
- Choose one of three options:
- Browse Library — Select from the system
- Upload File — Upload from your computer
- Take Picture — Capture a new photo with your device
- Select an image under 20 MB and click Add.
The uploaded photo automatically appears in the profile and replaces the placeholder across the portal.

Section titled “Tips for a Good Profile Picture”- Clear, front-facing photo
- Well-lit with a visible face
- Simple, clean background
